Asset Configuration Options

The Asset Configuration Options page allows the administrator to configure options for the Asset module.

To set asset configuration options:

  1. Open the Administration Menu page.

  2. Under the ASSET ADMIN heading, click Configuration Options.

  3. Select values for any of the following options:

    1. Advanced Search Enabled – Set this option to Yes to enable Advanced Search on the Find Asset page. Advanced search allows users to search by multiple asset classes, asset ranks, or FCA ranks.

    2. Allow Duplicate Asset Numbers (Installation) – Set this option to Yes to allow asset numbers to be duplicated if used on different properties. If set to No, the system will require all asset numbers to be unique across the entire installation.

      Note:

      Asset numbers are never allowed to be duplicated on a single property, regardless of the value of this option.

      Before setting this option to Yes, you may want to click the Duplicate Asset Report link. This generates a report that lists the Asset ID number, Duplicate Asset ID, and the Property where duplicate asset numbers are used. From this report, assets with duplicate asset numbers can be modified.

    3. Asset Tagger Enabled – Set this option to Yes to use the Asset Tagger to automatically assign unique asset numbers to new assets. The asset numbers contain a prefix corresponding to the asset class followed by a sequentially incremented numeric value preceded by leading zeros, for example, AHU-0000465. If set to Yes, users cannot edit the asset number on the Create Asset or Edit Asset Details pages, unless they have the Asset Administrator security right. For more information, see Asset Tagger.

    4. Asset Id Length – Select a value to specify the required length of the last component of the auto-generated asset number.

    5. Display Asset Keyword and Type – Set this option to Yes to include the Asset Type and Asset Keyword fields in the Create Asset page.

    6. Include all properties in Asset Selector – Set this option to Yes to include all properties a user has security rights to access in the Property drop-down menu in the Select Asset dialog box that opens when a user clicks the Asset Select link on the Create Request page. This allows a user to associate an asset from a property other than the one specified on the work request.

    7. Change Request location to Asset location – Set this option to Yes to allow the work order location to automatically change to the location of the asset when an asset is selected using the Select Asset dialog box that opens when a user clicks the Asset Select link on the Create Request page.

      Note:

      The settings for the Include all properties in Asset Selector and the Change Request location to Asset location options should be considered together because each can impact how the other behaves.

      Include all properties in Asset Selector = Yes

      Change Request location to Asset location = Yes

      Assets at all properties are displayed in the Select Asset dialog box. Selecting an asset may change the location of the work request.

      Change Request location to Asset location = No

      Assets at all properties are displayed in the Select Asset dialog box. Selecting an asset may cause the asset and the work request to be at different locations.

      Include all properties in Asset Selector = No

      Change Request location to Asset location = Yes

      Only assets at the selected property are displayed in the Select Asset dialog box, therefore the asset and the work request will always be at the same property. However, the floor or space location may change based on the asset selected.

      Change Request location to Asset location = No

      Only assets at the selected property are displayed in the Select Asset dialog box, and the asset and the work request will always be at the same property, space, and floor location.

  4. (Healthcare Functionality Only) In the Healthcare Settings pane, specify values for any of the following options:

    1. ECRI Codes Enabled – Set this option to Yes to enable the ECRI Codes Admin page that allows a system-wide set of ECRI codes to be defined and to include the ECRI code field on the Create Asset and Find Asset pages.

    2. Risk Assessment Enabled – Set this option to Yes to include the Risk Assessment text field on the Create Asset and Find Asset pages.

    3. Ext. Cost Center Validated – Set this option to Yes to enable the Ex Cost Center Admin page that allows a system-wide set of external cost centers to be defined and to include the Ext Cost Center field on the Create Asset and Find Asset pages.

    4. Auto-Assign by Asset – Set this option to Yes to allow an asset to have a user defined as the person to whom work requests involving this asset are automatically assigned to. The asset's Auto-Assign user overrides the default assignment based on request type.

  5. Click UPDATE.
